Job Title: Office Manager
Location: Lagos
Employment Type: Contract


Job Summary

* We are seeking a smart, detail-oriented, and capable Office Manager to oversee all non-clinical aspects of the Lagos facility.
* This role combines full operational oversight with administrative coordination to ensure the clinic runs seamlessly.
* The Office Manager will be responsible for managing the day-to-day non-clinical operations of the clinic, including administration, facility upkeep, compliance, procurement, vendor coordination, inventory management, and reporting.
* The successful candidate will be expected to proactively identify issues, implement solutions, and maintain an environment that supports premium client care and efficient staff operations.


Key Responsibilities

* Oversee daily non-clinical operations of the clinic, ensuring smooth coordination of all administrative and support services.
* Supervise and support front desk staff, cleaners, maintenance officers, and any external vendors attached to facility functions.
* Ensure the clinic premises are clean, hygienic, and client-ready at all times by managing cleaning schedules, waste disposal, and maintenance needs.
* Coordinate with maintenance officers and technicians to ensure functionality of utilities and equipment (generators, ACs, plumbing, lighting, etc.).
* Manage regulatory compliance activities, including annual license renewals, fire service certification, and Lagos State Health Facility Monitoring & Accreditation (HEFAMAA) processes.
* Monitor and support servicing of medical aesthetic equipment by liaising with internal biomedical engineers or external service providers.
* Manage procurement of non-clinical supplies and consumables, ensuring quality, timely delivery, and cost efficiency.
* Track usage and maintain optimal stock levels of consumables, office supplies, cleaning items, and treatment-related materials in collaboration with the inventory officer.
* Maintain vendor and contractor relationships and oversee timely delivery of services like fumigation, facility repairs, generator maintenance, and waste evacuation.
* Prepare and manage duty rosters for administrative/support staff to ensure full shift coverage and client service readiness.
* Monitor daily facility operations and resolve issues quickly to avoid disruption of clinical services.
* Support petty cash management and operational expenditure tracking in coordination with the finance team.
* Ensure adherence to internal SOPs, clinic guidelines, and health & safety standards by non-clinical team members.
* Coordinate fire drills, emergency preparedness protocols, and ensure first-aid kits and fire extinguishers are in good condition.
* Support onboarding of new administrative or support staff and ensure they’re well-integrated into clinic culture and expectations.
* Prepare weekly or monthly operational reports and submit timely updates to management regarding status, challenges, and needs.
* Act as liaison between clinical teams and facility support to ensure operational requests are met swiftly.
* Drive continuous improvement initiatives to optimize clinic efficiency, client experience, and resource utilization.


Education and Experience Requirements

* Bachelor’s Degree in Business Administration, Office Management, or a related field.
* Minimum of 2 - 4 years experience in an operational or administrative leadership role, preferably within a healthcare, aesthetics, or wellness industry.
* Good understanding of health facility compliance requirements in Lagos (including HEFAMAA, fire service, and local safety codes).
* Proven ability to manage vendors, facilities, procurement, and internal processes with minimal supervision.
* Excellent leadership, organizational, and multitasking skills.
* Proficiency in documentation, reporting, and recordkeeping.
* Ability to work effectively under pressure and handle emergencies or unexpected issues calmly.
* Professional communication skills and the ability to coordinate across clinical and non-clinical teams.


Salary
N200,000 - N300,000 / Month.
